How Focus Forward, FFTranscription, FF Focus Group, and Panel Direct protect your data.
Privacy Policy
The following Privacy Policy applies to our data collection and use practices relating to your use of Focus Forward, FFTranscription, FF Focus Group, and the Panel Direct websites. The policy applies to our websites and our other products and services (collectively, the "Services"). As a registrant or visitor to any of our sites, you agree to this Privacy Policy. The terms "we," "our," or "us" refer to all sites under the parent company Focus Forward.
Focus Forward and all brands may enter into written product or service agreements with business customers that contain specific provisions related to the confidentiality, security, or handling of information. When provisions of a written agreement differ from this Policy, the terms of the written agreement will apply.
1. Information Collection, Use, and Sharing
Focus Forward is the sole owner of the information collected on this site. We only collect or have access to information that you voluntarily give us via our online portal, marketing site, mobile app, or related tools. We will not sell or rent this information to anyone. Our proprietary web-based application is hosted on secure and redundant servers and accessed via the highest level of SSL-encrypted connection. All data and files are encrypted both in transit and at rest.
To order transcription services, you must provide contact information (name and email) and financial information (credit card number). This information is used for billing and to process your transcription orders.
To ensure utmost security, FFTranscription deletes all voice files from its servers no more than 60 days after delivery of the transcripts. If requested, files can be deleted on a shorter timeline.
All associates and trusted parties of Focus Forward who assist in operating our business have signed Non-Disclosure Agreements (NDAs). FFTranscription performs random security checks on all transcriptionists' computers. No one transcriber typically has access to the full audio file; transcribers only have access to a portion of a longer audio file with a typical maximum of 30 minutes of sound.
We do not knowingly collect or store any personal information about children under the age of 13.
2. Cookies and Your Control Over Them
Cookies are small text files transferred from our websites and stored on your device. We use cookies to help us provide personalized service and improve user experience.

- IP address and traffic data — logged automatically by our servers.

3. Your Control Over Your Data
You may choose to use our website without entering any personally identifiable information, but many services will not be available. To delete your information completely, go to "My Profile" in our online portal and click "Delete" under "Delete Account."
4. Your Access to Your Data
All clients are required to register on the website by creating a unique account, both username and password protected. Each user's secure individual account allows access to only their uploaded files and completed transcripts. From the online portal you can at any time:
- Download all transcribed files
- See what personal data we have about you
- Change or delete any personal information
- Delete your audio files
- Delete your transcription output
5. Securing Your Data
When you submit sensitive information via our website, it is protected both online and offline. The collection of sensitive information (such as credit card data) is encrypted and securely transmitted. We will make reasonable attempts to notify you within 72 hours if we determine that Focus Forward has experienced a security breach with reasonably likely risk of identity theft, or where otherwise required by law.
Only associates who need access to personally identifiable information are granted it. Our servers and databases are kept in a secure environment.
6. Transcriber Confidentiality
Each transcriptionist within the FF community is required to sign a Confidentiality Agreement prior to working for us. Once a transcript has been completed and submitted, it is completely deleted from the transcriptionist's computer. This is a legally binding agreement.
We are willing to sign any specific Non-Disclosure Agreement with any customer who requests one. Administrative staff and independent transcribers have individual, password-protected user accounts that limit their level of access to only those tasks necessary to perform their duties. Transcribers only have access to a portion of a longer audio file with a typical maximum of 30 minutes of sound.
FFTranscription requires transcriptionists to store FF data on locked computer accounts to which only they have access and to always have FFTranscription-approved updated virus and firewall protection.
